How Nova Security Systems S.E. Ltd collects, uses and protects your personal information.

Who we are

Nova Security Systems S.E. Ltd (“Nova”, “we”) is the controller of personal information collected through this website and in the course of our business. We’re registered in England and Wales, company number 11939917, at Unit 3 The Regent Centre, Shearway Business Park, Pent Road, Folkestone, Kent CT19 4FL. What we collect

  • Enquiries: your name, email address, phone number, postcode, business name and anything you tell us when you use a form, call, email or message us
  • Customers: contact, site and keyholder details, system information and billing records needed to deliver and maintain your systems
  • Job applicants: the details and CV you send us
  • Website: our hosting provider processes technical information such as IP addresses to deliver and protect the site. Our forms also use its spam check, Cloudflare Turnstile, which tells people from bots by looking at technical details such as your IP address and browser, not at what you type. Most visitors get no cookies at all: see Cookies and Google ads below.
  • Booking requests: what you send on our booking form, including any photos or documents, goes into our job management system (ServiceM8) so we can arrange the work. If you use the address search on that form, what you type is sent to Google Maps to suggest matching addresses.
  • Google ad clicks: if you reach our website from one of our Google ads, Google adds a click reference to the web address, and our ads add the campaign name and the search keyword. If you send us an enquiry from the page you arrived on, these are sent with it.

How and why we use it

  • To answer your enquiry and prepare quotes (our legitimate interests, and steps you’ve asked us to take before a contract)
  • To see which of our Google ads lead to enquiries, using the click reference sent with an enquiry (our legitimate interests)
  • To measure which of our Google ads lead to enquiries using Google’s ad cookies, only if you accept them (your consent)
  • To deliver, maintain and support your systems, including passing details to alarm receiving centres where you’ve asked for monitoring (to perform our contract)
  • To keep records we’re required to keep, such as accounts and certification records (legal obligation)
  • To send occasional marketing emails, which you can stop at any time from any email or on our unsubscribe page (consent, or our legitimate interests for existing customers)
  • To consider job applications (our legitimate interests)

Cookies and Google ads

If you reach our website from one of our Google ads, a bar at the bottom of the page asks whether we can use Google’s ad cookies. If you tap Accept, we load Google’s ad tag, which sets cookies so Google Ads can tell us which ads lead to enquiries. If you then send us an enquiry, your email address and phone number are passed to Google in a scrambled (hashed) form to match the enquiry to the ad click. We don’t use the cookies for personalised advertising or remarketing.

If you tap Reject, or never see the bar, nothing from Google loads and no cookies are set. We remember your choice in your browser for six months.

Some case studies include a YouTube video. Nothing loads from YouTube until you press play; the video then plays in YouTube’s privacy-enhanced mode, under Google’s privacy policy.

Who we share it with

We use trusted providers to run our business, including our website host, email delivery service, email and office software, job management and accounting systems. For monitored systems we share the necessary details with the alarm receiving centre and, where applicable, the police. If your enquiry came from one of our Google ads, we may tell Google Ads that the click led to an enquiry, using the click reference and, if you accepted Google’s ad cookies, your email address and phone number in hashed form. We don’t sell your information. Some providers may process data outside the UK; where they do, we rely on appropriate safeguards such as adequacy regulations or standard contractual clauses.

How long we keep it

We keep enquiry details for up to two years if they don’t lead to work. Customer and certification records are kept for as long as we look after your systems and then for as long as we need them for legal, insurance and warranty purposes, usually six years. Unsuccessful job applications are deleted after six months.

Your rights

You have the right to ask for a copy of your information, and to ask us to correct, delete or restrict it, to object to how we use it, and to withdraw consent at any time. Contact us using the details above. If you’re unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
