Fire alarm certificates and paperwork

Whoever installs your next fire alarm, make sure you receive all the documentation you need to show compliance. This is everything a new Nova installation comes with, and why each document matters when a fire officer, insurer or auditor asks.

What you receive from Nova

On completion of a new fire alarm installation, Nova provides certificates of design, installation and commissioning, an operation and maintenance manual, as-fitted drawings, a wireless signal report (for wireless systems), an on-site logbook, an acceptance certificate, an agreed variations certificate, and a framed zone plan mounted beside the control panel.

On completion of every installation

  • Certificate of designConfirms the system is designed to BS 5839-1:2025 for the category your fire risk assessment calls for.
  • Certificate of installationConfirms the system was installed to the design and the standard, including cable tests.
  • Certificate of commissioningConfirms every device and function was tested and works as designed.
  • Operation and maintenance manualHow the system works and how to use it: device schedules, cause and effect, battery calculations and manufacturers’ information.
  • As-fitted drawingsEvery device, the panel and the cable routes as installed, drawn in NOVA System Designer.
  • Wireless signal reportFor wireless systems: the radio signal for each device, recorded at commissioning.
  • On-site logbookOur own Fire Safety Logbook, covering the fire alarm, fire extinguishers and emergency lighting, for weekly tests, services, faults and false alarms.
  • Acceptance certificateSigned by you or your representative to confirm you’ve accepted the system and received the documents.
  • Agreed variations certificateLists anything that differs from BS 5839-1, agreed with you and written down, as the 2025 edition requires.
  • Framed zone planMounted beside the fire alarm control panel, so anyone responding can find a fire quickly.

As a BAFE registered company, we also issue a BAFE Certificate of Compliance for the modules we carried out, traceable through our certification body, NSI. And we include the Fire Industry Association’s guidance for responsible persons on managing false alarms.

At every service visit

  • Inspection and servicing certificateConfirms the visit was carried out to BS 5839-1:2025, about six months after the last one.
  • Logbook entriesWhat we tested and found, signed by the engineer.
  • Defects and recommendationsA written list in order of priority, so you know what needs doing and why.

When we change your system

  • Extension or modification certificateIssued for additions and alterations. Under the 2025 edition, firmware updates count as modifications and need one too.
  • Updated drawings and zone planSo your records always match what’s installed.

The operation and maintenance information includes the battery calculation, showing the panel’s standby batteries are big enough. You can check a panel’s figures with our free battery size calculator.

Emergency lighting

Where we install or test emergency lighting, you get certificates and a test log to BS 5266-1:2025.

Checking a BAFE certificate

Check the company on the BAFE register at bafe.org.uk. For a question about a particular certificate, contact the certification body named on it (for us, NSI) or BAFE directly.

Who keeps the fire alarm logbook?

The people who manage the building keep it, and keep it where it can be found, usually by the panel. We fill in our entries at each visit and record anything we find.

How long should we keep fire alarm certificates?

Keep them with the logbook for as long as the system is in use. They show what was installed, to which standard, and how it has been maintained.

Can we have our paperwork digitally?

Yes. You get PDF copies and a link to the design drawing, as well as the paper logbook that stays on site.

We’ve inherited a system with no paperwork. Can you help?

Yes. We inspect the system and rebuild the zone plan, drawings and logbook, and we tell you honestly where it falls short of the standard.
